Who we are

Fluvia FZC is a software company registered in Sharjah Publishing City Free Zone, United Arab Emirates. This policy covers Fluvia and the products it operates, including Extracto.

Each product also states how it handles data on its own site. Where a product's notice is more specific than this one, the product's notice governs that product.

What we collect

We collect only what a product needs to do its job.

• Documents you send us. Photographs and files of receipts and invoices, and the details read from them — the supplier, the date, the amount, the tax.
• How to reach you. A WhatsApp number, an email address, a name and a role in your company.
• How the product is used. Which pages were opened and which actions were taken, so we can find faults and see what is confusing.

Why we hold it

To provide the product you signed up for, to keep an accurate record of what a business spent, to bill correctly, to answer support requests, and to keep the service secure. We do not sell personal data, and we do not use your documents to advertise anything to you.

Who else processes it

We use a small number of providers, each for one job:

• Google Cloud — hosting and storage.
• Mistral AI — reading the text of a document you send, so its details can be extracted.
• Meta (WhatsApp) — carrying messages between you and the product.
• Ziina — taking payment, where a product charges for its use.
• Our email provider — sending sign-in codes and notices.

Where it lives

Live systems run in the Middle East. Backups are held in Europe so that a regional failure cannot take both.

What you can ask for

You can ask for a copy of what we hold about you, ask us to correct it, or close your account and have it deleted. How to do each is set out on the data deletion and requests page, and how long we keep things is on the data storage and retention page.
